Downloading Attendance & Fee Reports

Pull an attendance grid, a monthly fee summary, a defaulters list, or a child's monthly roll-up — as PDF or CSV, straight from the app.

Reports turn what’s already in Mazhali into something you can print, file, or send to a parent. Every report is generated on your device as a branded PDF (your school name and logo in the header) or as a CSV you can open in Excel.

Reports are admin-only, with one opt-in exception covered at the end.


The Reports hub

Open Admin Dashboard → Reports. Every report lives here:

Nothing is emailed or pushed to anyone automatically. You generate the file and share it yourself — WhatsApp, email, or print.


Attendance Grid

The grid is a real screen, not just a download button — it’s the fastest way to read a month of attendance.

  1. Reports → Attendance Grid
  2. Pick the class and the date range
  3. Read the matrix: children down the side, dates across the top, each cell showing Present, Absent, Late, Sick, Vacation, or Excused

On desktop you get the full matrix with a frozen header row. On a phone the child-name column stays fixed while the dates scroll sideways, with a narrower default range so it stays readable.

School holidays and events are overlaid from the Calendar, so a blank column reads as “school was closed” rather than “nobody marked attendance”.

Export as PDF (print-ready, one page per chunk of dates) or CSV (to pivot in Excel).


Fee reports

Two separate views, both under Reports:

Fee Report (Monthly) groups every fee record by month — what was raised, what came in, what’s still open. Use it for the monthly close, or to answer “how did June actually go”.

Fee Defaulters lists only children with outstanding payments, so you have a follow-up list rather than a spreadsheet to filter. This is the one to export as PDF before a reminder round.

Both export to PDF and CSV.


Child Monthly Report

This is the one to send a parent, or bring to a parent meeting.

  1. Reports → Child Monthly Report
  2. Pick the child and the date range
  3. Generate

You get a single document combining the child’s daily reports (meals, nap, mood, activities, teacher notes) with their attendance for that period, under your school’s branded header. It reads as a monthly summary of the child’s time at school, rather than a stack of separate days.


PDF or CSV — which to use

  • PDF when a human reads it: parent meetings, printouts, WhatsApp to a guardian, your own records.
  • CSV when you’ll work on the numbers: filtering, pivoting, reconciling fees against your accounts.

Every many-child report offers both. On mobile, exporting opens the share sheet; on web, the file downloads.


Letting parents pull their child’s attendance report

There’s one report parents can generate themselves, and it’s off by default.

In School Settings, turn on Allow parents to download reports — “When on, parents can export their own child’s attendance report from the app.”

With it on, a guardian can export their own child’s attendance report and nothing else. They cannot see other children, other classes, fees, or any many-child report. Leave it off and every report stays admin-only.

Useful when your school regularly gets “can I have my child’s attendance for the term” requests; leave it off otherwise.


Practical notes

  • Documents are built on your device from live data, so a report always reflects what’s in the app at that moment. Nothing is stored server-side — regenerate whenever you need a fresh copy.
  • There’s no single-day export. A single day is already fully visible in the app; daily-report exports are date-range based.
  • Correct attendance before exporting, not after — see Managing Attendance as a School Admin for overriding a record.
