Mazhali uses an email-based invitation system. You never create accounts on behalf of your staff or parents — you send an invitation and they create their own accounts. This keeps credentials private and removes the burden of password management from you.
Inviting a teacher
- Open Admin Dashboard → Staff → Invite Staff
- Enter the teacher’s email address
- Choose their role: Teacher or Admin
- Click Send
The teacher receives an email with a unique link valid for 7 days.
- If they already have a Mazhali account (for example, they also teach at another school using Mazhali), they simply log in to accept — no new account needed.
- If they don’t have an account, the link guides them through creating one.
After acceptance, the teacher appears in your Staff list.
Assigning a teacher to a class
Inviting a teacher and assigning them to a class are separate steps.
Once a teacher has accepted:
- Open Classes → [Class Name] → Teachers
- Click + Add Teacher
- Select the teacher from your staff list
A teacher can be assigned to more than one class.
Inviting a parent (guardian)
Parents are invited from the child’s profile, not from a central staff list.
- Open the child’s profile (Children → [Child Name])
- Go to Guardians → Invite Guardian
- Enter the parent’s email address
- Click Send
The parent receives an email, creates or logs in to their Mazhali account, and is immediately linked to the child.
One child can have multiple guardians. Repeat the process for each parent or carer — all guardians get the same access to the child’s profile.
What if an invitation hasn’t been accepted?
Invitations expire after 7 days. If a teacher or parent hasn’t accepted in time:
- Go to their staff profile or the child’s guardian list
- Click Resend Invitation
A fresh 7-day link is sent.
Other things to check:
- Confirm you have the correct email address
- Ask the recipient to check their spam or junk folder
- Some school email systems block external invitations — the recipient may need to check with their IT team
Common questions
Can an admin also be a parent at the school? Yes. An admin account and a guardian link are separate — you can hold both on the same Mazhali account.
Can a parent belong to more than one school? Yes. One Mazhali account can be linked to children at multiple schools. Parents who already use Mazhali at another school simply accept the invitation and their new child appears alongside their existing children.
Can a teacher see children from classes they’re not assigned to? No. Teachers only see the classes they’ve been explicitly assigned to. Admins see everything across the school.
